Moving into a Serviced Office? Here are 10 IT Questions You Should Be Asking...
Moving into a serviced office can be a great option for growing businesses. You get flexibility, minimal upfront costs, and a ready-to-go environment.
But one area that often gets overlooked is IT and security.
In many serviced offices, the building provides the internet, network, and infrastructure. While that’s convenient, it also means you’re relying on shared systems - which may not always meet your business’s security, performance, or compliance requirements.
At Prime Networks, we help businesses make this transition smoothly, securely, and with minimal disruption and having worked with multiple clients in the last couple of months with their office move transition, I thought it would be useful to document some key points/questions to help make the transition more seamless and ensure the new location is fit for purpose….
10 Key Questions to Ask the Building’s IT Team
When you’re planning your move, we recommend asking the building management or IT provider the following:
1. Is the internet connection shared or dedicated?
Understanding whether bandwidth is shared between tenants can impact performance, especially during busy periods. What speeds will you be getting?
2. Can we have a dedicated internet line if required?
Some businesses need guaranteed speed and reliability - particularly for cloud services, VoIP, or large data usage.
3. How is our network separated from other tenants?
You want to ensure proper network isolation so your data isn’t exposed to other businesses in the building.
4. Are VLANs or private networks available?
This helps create a secure, segmented environment for your business.
5. Will we have our own public IP address?
This is important for remote access, VPNs, and certain security configurations.
6. Can we install our own firewall and network equipment?
In an ideal setup, we would deploy your own managed firewall, switches, and wireless access points to give you full control and security.
7. Are there any restrictions or additional costs for using our own IT equipment?
Some buildings allow this freely, others may charge or limit what can be installed.
8. What Wi-Fi setup is provided?
Is it shared across the building, or can you have a private, secure wireless network?
9. What cabling, power and connectivity are available at each desk?
Understanding how many data points and power outlets are available avoids surprises on move-in day. Will they (the building team) patch everything in for you?
10. What level of IT support does the building provide?
It’s important to know where their responsibility ends - and where your IT provider (like us) takes over.
Our Recommended Approach
Where possible, we always recommend businesses have their own managed IT environment, even within a serviced office. This typically includes:
- Your own firewall
- Your own network (separate from other tenants)
- Your own wireless setup
This gives you:
- Better security
- More control
- Improved performance
- Easier compliance (especially for regulated industries)
That said, every building is different - which is why we engage directly with the building’s IT team early on and would suggest we jump on a call with you and the building’s own IT team so we can better understand the environment you’re moving into.
How Prime Networks Supports Your Move
We don’t just advise - we manage the entire transition for you.
Before the move
- Liaise with the building’s IT team
- Review network setup and security
- Plan your ideal setup based on your needs
During the move
- Decommission your existing setup
- Minimise disruption to your team
After the move
- Reinstall and recommission all systems
- Configure network, printers, and devices
- Ensure everything is working as expected
Important Considerations
Every move is slightly different, but one thing to be aware of:
- Your public IP address will likely change
- Your internal network (IP range) will likely change
This can affect:
- Printers and local devices
- Remote access / VPNs
- Applications tied to IP addresses
We handle all of this as part of the transition, so nothing gets missed.
A Smooth Move, Without the Stress
Moving into a serviced office should be exciting - not stressful.
With the right planning and the right questions, you can ensure your new space is:
- Secure
- Reliable
- Fit for your business needs
